Windows from Poland: VAT, transport and payment

Windows from Poland: VAT at the delivery country's rate (OSS), no customs duty, transport per stillage, payment, returns and claims, answered plainly.

When you buy windows from Poland, VAT is charged at the rate of the delivery country, not the Polish rate: German VAT for delivery to Germany, Belgian VAT for Belgium. We charge it and settle it ourselves through the EU OSS scheme, and you see the rate and amount in the quote. There is no customs duty, transport is priced per stillage space, and you pay for the windows in full before production.

We have shipped windows to Germany, the Netherlands and Switzerland since the late 1990s. Questions about tax, transport and money come up in almost every enquiry from abroad, so we have put the answers in one place. Anything about tax is general information, not tax advice.

Windows from Poland: VAT at which rate?

Our prices include VAT. For delivery to another EU country we charge VAT at that country's rate and pay it through OSS, the EU system that lets a seller account for VAT on sales to customers in other member states. For you that means one invoice and one amount, with no registration and no separate return to your own tax office.

You pay Polish VAT only for delivery within Poland or collection in Kalety. Businesses buy under separate general terms of sale, and we check their EU VAT number in the VIES system. Ask your own tax adviser how the VAT is treated in your business.

Is there customs duty when buying in Poland?

No. Poland is part of the EU single market, so there is no customs duty or clearance between Poland and Germany, the Netherlands, Belgium or France. The windows travel like any domestic delivery, with a consignment note.

What does transport cost, and who unloads?

Transport is not included in the window price. We charge it per stillage space, by delivery country, and state the amount in the quote before you order. The more windows on one stillage, the less transport per unit, which is why we recommend ordering at least 2 windows or 1 lift and slide door. We deliver regularly to Germany, Belgium, the Netherlands, France, Austria and Czechia, and to other EU countries once transport is agreed.

Unloading is up to you: a forklift or 2–3 people. The driver waits while you check the windows. Note any damage on the consignment note and take photos before you sign for the delivery.

Why do you pay 100% before production?

We make windows to measure, for one customer and one building. So the order starts with payment of the full amount, by bank transfer or in the order portal. Before you pay, you get a drawing and specification of every window to approve, so you know exactly what you are paying for.

After payment, production takes 3–8 weeks, and the exact date is in the confirmation. Before dispatch we show photos of the finished windows on the order tracking page. If the date slips significantly, our terms let you set an additional deadline and then cancel the contract with a refund.

Can you return the windows?

Made-to-measure windows cannot be returned within 14 days like goods from an ordinary online shop. The exception for goods made to the customer's specification comes from Directive 2011/83/EU (Article 16(c)) and applies across the EU. That is why we check sizes with you so carefully before production.

What about quality and paperwork?

The profiles come from German brands, VEKA, Kömmerling, Salamander and Gealan, and the aluminium from Aluprof. The windows are made in the All Windows Group (AWG) factory, for which we are an official dealer. The declaration of performance and CE documents come with the delivery. In Germany, the GEG requires a Uw of no more than 1.3 W/(m²K) when replacing windows in residential buildings, and you will find the Uw of every window in the documents. How to read a declaration of performance is covered separately.

Who handles a warranty claim from abroad?

We are the guarantor. The GALI warranty lasts 2 years, covers profiles, hardware, sealed glass units, roller shutters and motors, and applies in the delivery country. Separately from the warranty, we are liable if the goods do not conform to the contract. The warranty does not cover damage from incorrect fitting, so keep the instructions and your installer's paperwork.

Who fits the windows?

We do not offer fitting and do not recommend particular firms. You fit the windows yourself or hire a local installer and pay them separately. VAT on the windows then works as described above, and the fitting service is invoiced locally under local rules.

How do you check a seller before paying?

  • Full company name and address in Poland. Sole traders are listed in the CEIDG register, companies in the KRS.
  • An EU VAT number you can check in VIES.
  • Terms and conditions covering VAT, warranty and claims.
  • A quote with a full specification: system, glass, colour, hardware, with transport and VAT as separate lines.
  • A drawing to approve before payment.

Our company details and address (ul. Księdza Drozdka 31, 42-660 Kalety) are on the contact page.

Price your windows with VAT for your country

In the window configurator you see the price straight away, after every change. You get a quote with transport and VAT for your country within 3 working days. Delivery terms abroad are on the Export page, and the ordering process is described in Windows from Poland without middlemen.
